Terms & Conditions

The framework for student applications, firm participation, placements, and portfolio assessment.

Policy text is provided in English.

Last updated:

1. Acceptance of terms

These Terms govern access to and use of FOFA Training Program. The platform supports academic training applications, qualification assessment, opportunities, allocation, and portfolio evaluation. By using it, users acknowledge these Terms and applicable institutional rules, to the extent a valid agreement is formed.

If you do not agree, contact the responsible institution about participation procedures. Nothing here limits mandatory rights or protections under applicable law.

2. User categories

Students may review academic information, submit preferences, upload portfolios, and view results. Authorised staff manage academic records, rules, applications, firms, opportunities, evaluations, and placements within their assigned permissions.

Firms may submit registration and training details and communicate with administrators as supported by the platform. Submission does not establish approval or guarantee placement. University-assigned company accounts have service-specific workspaces for training, events and exhibitions, or sponsorships. Public announcement requests are reviewed by the university.

3. Eligibility and authorised access

Student access is restricted to people aged 18 or over who have completed their second year and are recognised by the institution. Staff access requires institutional authorisation. Provide accurate information and do not impersonate others or access accounts without permission. The institution controls provisioning and permissions.

4. Account responsibilities

Protect your login information and report suspected compromise promptly. Do not share credentials with unauthorised people, bypass authentication, misrepresent institutional status, or use another person’s account.

5. Academic records and qualifications

Eligibility may depend on subject grades, GPA, academic term, department, program, training category, and level under institutional rules. Results may be recalculated following corrections or rule changes. A qualification does not guarantee a place. Request verification of inaccurate records through the training team.

6. Applications and preferences

Submit preferences within the authorised application period and review them before saving or locking. The interface communicates deadlines, editing limits, and closure rules. Locked selections cannot be edited through the student controls; contact staff about an error or exceptional circumstance.

The institution must communicate and consistently enforce applicable limits. Submission and change histories may be retained for accountability. Technical errors affecting a deadline should be reported promptly so that the institution can determine a fair remedy.

7. Placement and allocation

Placement may consider qualifications, primary and backup preferences, subject grades, GPA, application timing, firm requirements, capacity, and authorised manual review. Outcomes depend on available opportunities and institutional rules.

An application, qualification, or allocation preview does not guarantee a particular placement. Confirmed allocations and subsequent authorised decisions determine the recorded assignment. Ask administrators for clarification or review of a disputed result.

8. Administrative decisions and corrections

Authorised staff may correct records, recalculate eligibility, update opportunities, review disputes, make manual placements, and investigate irregularities under institutional rules. These powers must be exercised lawfully and within assigned permissions. Consequential changes should be recorded appropriately.

9. Participating firms

Firms must provide accurate, current information about contacts, opportunities, requirements, and capacity. The institution decides approval and may deactivate participation under its policies.

Firms must handle student information they lawfully receive only for authorised purposes and in accordance with applicable data-protection requirements. Deactivation may preserve historical training records where lawfully required.

10. Portfolio submission

Only submit relevant work you are authorised to provide. Do not include malware, fraudulent representations, infringing material, or confidential third-party information without permission. Remove unnecessary personal and sensitive information.

Students retain their existing rights in original work. Submission grants the operator limited, non-exclusive permission to store, access, reproduce as technically necessary, and process the work for lawful training administration, assessment, and recordkeeping, subject to the Privacy Policy. Ownership is not transferred. Permission for optional AI processing is requested separately.

11. AI-assisted evaluation

With the separate opt-in offered by the portal, Google Gemini may assess portfolios and produce feedback. Outputs can be wrong, incomplete, or inconsistent and do not guarantee professional competence, academic success, or eligibility.

The institution must define human review and challenge procedures for consequential decisions. Students may contact staff for an alternative assessment or human review. AI portfolio scores are not an input to the current automatic placement algorithm. Processing is subject to the Privacy Policy and any required permissions.

12. Availability and technical limitations

Maintenance, software errors, connectivity, and provider failures may interrupt service. The institution should take reasonable measures to correct errors and restore accurate records. Report deadline or placement impacts for consideration under institutional procedures. Legal responsibilities that cannot be excluded remain in effect.

13. Prohibited activities

Do not bypass access restrictions, manipulate academic or allocation records, submit fraudulent documents, exploit vulnerabilities, access or disclose confidential student information without authority, disrupt the platform, interfere with another account, or use automation to abuse the service. Violations may result in access restrictions, institutional procedures, or lawful legal action.

14. Restriction and deactivation

The institution may restrict access to address unauthorised activity, security risks, loss of eligibility, or institutional violations. Relevant notice and review procedures should be provided where appropriate or required. Deactivation does not automatically require deletion of records that must lawfully be retained.

15. Intellectual property

Original platform software, interface materials, and documentation are governed by their applicable ownership and licences. Do not reproduce or redistribute protected material without permission except as allowed by law or licence. Students retain rights in their work, subject to third-party rights and separate institutional agreements.

16. Fees and payments

The platform currently has no payment, purchase, or subscription process. Future paid services would require appropriate price, payment, cancellation, and refund disclosures where applicable, and updated terms.

17. Privacy and data protection

The Privacy Policy explains information categories, purposes, recipients, retention, and individual requests. Read it before submitting information. Using the platform or accepting these Terms is not blanket permission for unrelated processing. The Cookies Policy explains authentication storage.

18. Responsibility and liability

The institution should take reasonable measures appropriate to the platform’s purpose. To the extent permitted by law, it is not responsible for losses caused solely by circumstances beyond its reasonable control.

Nothing excludes responsibility for unlawful conduct, negligence, data-protection violations, or other liability that cannot lawfully be excluded. Institutional and statutory obligations remain in effect.

19. Changes to these terms

Terms may change to reflect functionality, institutional requirements, or law. A revised date will be displayed. Material changes should be communicated and any necessary acceptance obtained. The revision date is not a substitute for institutional approval or an adoption date.

20. Governing law and disputes

Applicable laws of the Arab Republic of Egypt govern these Terms, subject to mandatory provisions governing the institution-user relationship. Raise academic, placement, or administrative concerns with the responsible department first. Legal disputes remain subject to the jurisdiction and procedures established by applicable law; this does not remove statutory remedies.
